Invite your team and manage workspace access
Several people can work in the same Briard-AI workspace. They share its AI tool inventory, saved answers, supporting material and policy work. Each person uses their own account; do not share a password or session.
The person who creates a workspace becomes its Owner, with administrative access. An Owner or Admin can invite additional administrators and teammates. Keep an accountable owner in place.
| Role | Use it for |
|---|---|
| Owner | Workspace administration and owner-only decisions. Owner access is protected in ordinary member management. |
| Admin | Manage workspace members and most workspace settings. Owner-only decisions stay separate. |
| Contributor | Add and maintain the work their role permits, including tool answers and supporting material. |
| Viewer | Read the workspace information their role permits. Viewers cannot add or change workspace records. |
Choose the least access a person needs. Administrative sign-in requires the additional identity verification shown by Briard.
Invite a teammate
- Open Account & settings in your signed-in workspace. Under Members and roles, choose Manage. You can also open member settings.
- Under Invite one teammate, enter their work email and choose Admin, Contributor or Viewer.
- Choose Send invite. Read the delivery status; an invitation being saved or queued does not mean the email has arrived.
- Check the pending invitation in the member list. The private link expires after seven days. Choose Revoke if it is no longer needed.
Invitations are for the named email, workspace and role. Do not forward someone else's link.
Join the invited workspace
- Open your invitation link and check the workspace name and role.
- Sign in with the invited email, or create an account using that email. Complete email confirmation and any required identity verification.
- After joining, check the workspace name before adding work. The invitation joins you to the existing team's workspace; you do not need to create a separate workspace for the team.
If you already have an account, joining makes the invited workspace your active workspace. An expired, revoked or already-used invitation needs an administrator's review; use the displayed message rather than repeatedly trying a different account.
Change a joined member's role
- In Members and roles, find the correct person by name and email.
- Choose Admin, Contributor or Viewer in their role selector, then choose Save role.
- Read the confirmation and check the updated member list. After a role changes, the person should sign out and sign in again, completing the identity check if asked. Previously granted access cannot override the current membership.
Owner rows and your own membership are protected in this screen. This workflow does not transfer workspace ownership.
Remove a member
- In Members and roles, find the person and choose Remove.
- Review who will lose access, then choose Confirm removal, or Keep member to cancel.
- Check that the person is no longer in the member list.
Removal withdraws access to this workspace. It does not delete the person's identity account or erase the team's recorded work and review history. A revoked pending invitation and removal of an existing member are different actions.
When something needs attention
- You cannot see the controls: an Owner or Admin must manage membership. Ask that person to review the requested access.
- An invitation has not arrived: check its displayed delivery state and the invited address. A pending or failed delivery needs review; avoid sending duplicate invitations before checking.
- Access changed during your session: sign out and sign in again, completing the identity check if asked, then check the workspace and role. If the action remains unavailable, ask the workspace administrator to review your current membership.
Removal is blocked: reassign the responsibilities named by the displayed message before trying again. Do not delete the team's records to bypass the message.
Continue with the User Guide for shared inventory work, or read the supporting-material examples before adding proof.
